Planado allows you to do bulk operations with jobs. Currently, with bulk operations, you can:

  • delete jobs;
  • change jobs assignees;
  • reschedule jobs.

You can update up to 1000 jobs using bulk operations.

Bulk operations are available on the Pro price plan.

Deleting jobs in bulk

Using bulk operations, you can delete jobs for a certain period or certain assignees. For example, if you have test jobs that you do not need anymore, you can delete them using bulk operations.

To use bulk operations, go to the Jobs page. Click the Select button. It will open the bulk operations menu.

Open the bulk operations menu

After that, on the left side from the jobs numbers checkboxes will appear. Select several jobs that you want to delete and click the Delete button.

Generally, it is more usable not to select jobs one by one but to use filters to see only jobs that you want to change, select all of them, and then delete or update. The filters are described in the Jobs page instruction.

Select jobs that you are going to delete

Planado will ask if you want to delete the selected jobs. Click Delete.

Confirm the removal

After that, the removal process will start. Before it is completed, you can stop it. After the completion, the jobs will be removed.

You can also select all jobs from the list. It is usable when you want to delete all jobs for a selected filter. To do so, apply a filter, click the Select button, and tick the checkbox on the left from the column. As a result, all jobs from the list will be selected, now you can easily remove them.

Changing jobs assignees

You can use bulk operations to change assignees from one to another or to assign workers to unassigned jobs.

To change assignees, go to the Jobs page, click the Select button, and select the jobs that you want to change assignees for. To select all jobs from the list, click the checkbox on the left from the # column.

Select jobs for the assignee change

Assignee cannot be changed if a job has Started, En route, Paused, Canceled, or Finished status.

Click Change assignee, select a new assignee from the drop-down menu, and click Submit.

Select a new assignee

The assignee changing process will start. Before it is finished, you can cancel it.

Cancel the assignee changing operation

When the process is finished, the assignees will change in the selected jobs. To view more detailed operation results, click the Details button in the Operations tab.

View details of the operation results

In the opened window you will see the list of jobs updated with the operation. In the right column, you can see if the operation was completed successfully or not. You can also change the filter settings to view successfully and unsuccessfully completed operations.

Filters for successful and unsuccessful operations

If for some reason not all operations were completed successfully, you can run the process once again. If you want to remove a job from the list for the second attempt, click on the cross icon on the right of the job. It will disappear from the list and if you run the process again, this job will not be present in this attempt. To run the second attempt, click the Retry unsuccessful button.

Retry unsuccessful

The assignee changing process will run again, and the results will appear in the operations tab.

Usually, the operations are completed unsuccessfully because of their status. However, when there are too many unsuccessfully updated jobs in the operation, the latter part will be automatically skipped. In this case, it can be useful to run the operation again only with the skipped jobs this time.

You can also remove an assignee from jobs using the bulk operations feature. To do so, select jobs and when choosing a new assignee for them, leave the assignee field empty. After the operation is completed, selected jobs will have the empty Assignee field.

Changing a job scheduled date

Changing jobs' scheduled date in bulk is useful when you need to reschedule several jobs at once. It is done similarly to the assignee changing operation.

Go to the Jobs page, click Select, and select the jobs that you want to reschedule. To select all jobs from the list, click the checkbox on the left from the # sign.

Select jobs for the rescheduling

You cannot reschedule jobs in the Started, En route, Paused, Canceled, and Finished status.

To change jobs' scheduled dates, click the Reschedule button, select a new date, and click Submit. To remove jobs' scheduled dates, leave the Schedule at field empty and click Submit.

Select jobs' new scheduled date

After that, the rescheduling process will begin. When this operation is completed, jobs will change their scheduled date to the selected one. You can view operations results by clicking the Details button on the Operations tab.

Rescheduling operation results

You can run this operation again for the unsuccessful jobs.

Other Jobs page functions are described in the instruction.
